This policy explains how Whitburn Studio uses personal information submitted through this website, shop checkout, repair estimator, custom board brief, contact forms and newsletter forms.

Who is responsible for your information

Whitburn Studio is responsible for the personal information collected through this website. The studio is run by James Bailey. You can contact the studio at hello@whitburnstudio.com.

Information collected

Enquiries and contact forms

Name, email address, phone number if provided, preferred timescale or date range, enquiry type and the message you send.

Custom board briefs

Board preferences, surfing information, sizing details, delivery preference, contact details, message content and any optional reference images you upload.

Repair requests

Damage details, equipment type, repair location, estimate information, contact details, message content and repair photographs you upload.

Shop orders

Order and payment information handled through Square, including the information needed to process, confirm and fulfil your order.

Newsletter sign-ups

Email address, optional name, consent timestamp, sign-up source, placement and any newsletter interests selected when newsletter features are enabled.

Website and basket use

Basic technical information needed to run the site, basket contents stored in your browser so the shop basket continues to work while you browse, and analytics information where permitted by your privacy choice.

Understanding and improving website journeys
Consent for optional analytics cookies, similar storage and session replay. If optional analytics is declined, limited cookieless usage statistics may be used. Visitors can turn analytics off entirely using Privacy choices.

Uploaded images

Repair photographs and optional custom board reference images are used to understand your request and reply with useful next steps. Only upload images you are happy for James and the studio's service providers to receive. Do not upload images containing sensitive personal information unless it is necessary for the request.

Who information is shared with

Personal information is only shared where needed to run the website, respond to requests, process orders, send emails, provide newsletter services, protect the site or comply with the law.

Resend

Sends operational email acknowledgements and enquiry notifications.

Square

Handles shop checkout, payment processing, order records, product data and inventory information.

Cloudflare Workers

May relay custom board or repair requests with uploaded images when attachments are included.

Vercel

Hosts the website and processes technical request data needed to serve the site.

beehiiv

Handles newsletter sign-ups and newsletter delivery when newsletter features are enabled.

YouTube

Shows embedded workshop films. The site uses YouTube's privacy-enhanced embed, but YouTube may still process data if you play a video.

PostHog EU Cloud

Provides website analytics and session replay, with sensitive fields masked, so Whitburn Studio can understand which pages, forms and journeys are useful and where the site needs improvement.

Cookies, local storage and embedded media

The shop basket uses browser local storage so selected items stay in the basket while you move around the site. You can clear this by clearing your browser data or emptying the basket.

The site uses PostHog EU Cloud for analytics. If you allow optional analytics and replay, PostHog may store an analytics cookie and browser storage such as ph_<project_key>_posthog for up to 12 months, unless the configuration is changed to a shorter period. This helps count visits, understand page journeys, measure enquiry and checkout paths, review session replay with sensitive fields masked and improve the site.

If you decline optional analytics, PostHog is configured to use limited cookieless usage statistics only. This means PostHog does not store analytics cookies, local storage or session storage for that choice, and session replay is off, but it may still count visits using a privacy-preserving server-side method.

You can also turn analytics off entirely from Privacy choices. In that mode Whitburn Studio does not send PostHog page views, journey events or replay data from this website.

With optional analytics consent, PostHog session replay may record how visitors move through the site. Form fields, message areas, upload controls, basket details and other marked sensitive areas are masked or excluded before recording is sent. Whitburn Studio does not intentionally record names, email addresses, phone numbers, message contents, uploaded files or payment details in session replay.

You can change your analytics choice using the Privacy choices link in the footer. Embedded YouTube videos may use YouTube technology when you choose to play them.

How long information is kept

Enquiries, repair requests and custom board briefs are kept for as long as needed to manage the request and maintain a useful customer history. Order, payment and accounting records are kept for the period required for tax, accounting and legal purposes. Newsletter records are kept until you unsubscribe or ask for them to be removed, unless a record must be kept to honour that request.

Your rights

You have rights under UK data protection law. Depending on the circumstances, you can:

  • Access the personal information held about you.
  • Ask for incorrect information to be corrected.
  • Ask for information to be deleted where there is no good reason to keep it.
  • Object to processing based on legitimate interests.
  • Ask for processing to be restricted in some circumstances.
  • Ask for a copy of information in a portable format where this applies.
  • Withdraw consent where processing is based on consent, such as newsletter emails.

You have the right to object to processing based on legitimate interests.
